Terms and Conditions for Golf Society Events

Definitions

'We' and 'Our' means The Shropshire County Leisure Ltd to which the contract is agreed. 'The Client' and 'You' means the organising body/company and organiser responsible for commissioning of and payment for the event, and will be stated as such on the contract document. Unless we agree otherwise in writing the contract will be personal to you and you may not assign it.

'The contract' means the agreement between The Shropshire and the Client for a specific booking or series of bookings. These Terms and Conditions will form part of the Contract together with any other terms and conditions stated on the Contract.


1. All bookings will be considered provisional until the client signs the contract.

2. The contract must be returned by the client and received by The Shropshire within 14 days of the date of issue along with a deposit of ś10.00 per person.

3. Deposits are strictly non refundable for cancellations or no shows

4. For any reasons beyond our control, if we need to make any changes or amendments to your booking, we reserve the right to amend a loop of 9 or a combination of loops for 18 holes.

5. All green fee tickets must be displayed clearly during play

6. Packages for groups of golfers are for a minimum of 12 players

7. Knowledge of golf etiquette and rules is required by all players. Appropriate clothing and shoes must be worn at all times – denims, trainers, tracksuits, collarless shirts, sharing of clubs and mobile phones are not permitted under any circumstances on the Golf Course.

8. Prices quoted include VAT unless otherwise stated this shall be at the prevailing rate when the Contract was prepared and is subject to alteration should the rate change.

9. If a deposit is not paid within 14 days of booking, tee spaces and meal arrangements will be released.

10. Groups bookings made within 14 days of the event date must pay a deposit immediately with credit card or cheque within 48 hours. If payment is not received tee spaces and meal arrangements will be released.

11. Final numbers are to be confirmed 72 hours before your event.

12. If menus are not confirmed within 7 days of your event, Chef's choice will prevail.


TERMS & CONDITIONS FOR FUNCTIONS, GOLF & ASSOCIATED EVENTS

Definitions

Unless we agree otherwise in writing the contract will be personal to you and you may not assign it.`The contract’ means the agreement between The Shropshire and the Client for a specific booking or series of bookings. These Terms and Conditions will form part of the Contract together with any other terms and conditions stated in the Contract.


Charges and Payments

1. The Shropshire requires at least 14 days notice prior to arrival to arrange any credit facilities and reserves the right to refuse credit. Credit accounts must not exceed their credit limit at any time.

2. Payment is due for credit accounts 14 days after date of invoice. Payment must be made in pounds sterling (UK) payable as directed in the contract. BACS payment system is available. Refunds will be given at the sole discretion of the management.

3. Should a deposit or pre-payment be required for any event, this will be specified on the Contract


Confirmation by the Client

4. All bookings will be considered as provisional until the Contract is signed by the Client. Once the Contract is signed, all such facilities, services, food and beverages reserved on your behalf will be subject to the terms and conditions of the Contract.

5. The contract must be returned by the Client and received by The Shropshire within 14 working days of the date of issue or, if such time is not available, prior to the date of arrival, within a maximum of 48 hours. If the Contract is not received by The Shropshire within this period, we reserve the right to release the provisional booking and re-let the facilities.

6. Numbers must be advised to The Shropshire at the time of verbal confirmation and will be identified on the Contract. Final numbers, timings, menus and any special requests must be confirmed to The Shropshire 14 days prior to arrival.


Amendments by the Client

7. Changes to numbers and/or arrangements must be confirmed to The Shropshire in writing. Final numbers within the terms stated in Clauses 9 and 10 must be notified to The Shropshire at least 14 days prior to arrival. These will be the minimum number for which the Client will be charged.

8. Reductions in the duration or contracted value of the booking shall be subject to our cancellation policy, as detailed in Clause 12.

9. No charges will be made for reductions in numbers of less than 10% from those stated on the Contract, providing they are received in writing by The Shropshire at least 14 days prior to arrival.

10. Should a reduction of 10% or more be made at any time prior to the event, then they shall be subject to The Shropshire’s cancellation policy.


Cancellation by the Client

11. In the unfortunate circumstances that you have to cancel or postpone your confirmed booking at any time prior to the event, we will make every effort to re-sell the facilities on your behalf.

However, we do reserve the right to charge a cancellation fee against a contracted business as set out below:

25-36 weeks 10%

13-24 weeks 40%

0-12 weeks 85%

12. Any cancellation, postponement or partial cancellation should be advised to the management of The Shropshire, in the first instance verbally. You will be advised at that stage, of a cancellation reference number. We also request that the cancellations are put in writing by The Client.

13. Cancellation charges due can only be confirmed to you after the intended date of your event.


Changes or Cancellation by The Shropshire

14a. Should we for any reasons beyond our control, need to make any changes to your booking, we reserve the right to offer an alternative choice of facilities ( For Golf Clients, see additional )

14b. Should the Client make significant changes to the programme or the expected number of guests, this may result in changes in the applicable rates and/or facilities which we offer.

15. We may cancel the booking at any time:

a. If the booking might, in opinion of the management, prejudice the reputation of The Shropshire

b. The Client is more than 30 days in arrears of previous payments to The Shropshire

c. If The Shropshire becomes aware of any alteration in the Clients financial situation


Golf Clients General

16. For any reasons beyond our control, if we need to make any changes or amendments to your booking, we reserve the right to amend a loop of 9 or a combination of loops for 18 holes.

18. Packages for groups of golfers are for a minimum of 12 players

19. Knowledge of Golf Etiquette and rules is required by all players. Appropriate clothing must be worn at all times - denim, trainers, tracksuits, collarless shirts and sharing of clubs are not permitted under any circumstances on the Golf Course General

20. The Shropshire reserves the right to approve any externally arranged entertainment, services or activities you have arranged and we cannot accept liability for any resultant cost.

21. The costs of repairing any damage caused to property, contents or grounds by any of your guests must be reimbursed to The Shropshire by the Client. Within 14 days.

22. No Wines, Spirits or Foods brought into The Shropshire may be consumed. A corkage fee may be agreed in advance only with direct confirmation from the Management.

23. We will not be liable for any failure to provide or delay in providing facilities, services, food or beverages as a result of events or matters outside its control.

24. The Shropshire name/logo may be used in publicity, once a proof of the promotional material has been agreed with the Management

25. The Client is responsible for ensuring that any band, musician, cabaret employed by them complies with statutory requirements and the requirements of the management

26. The Shropshire must comply with certain licensing and statutory regulations and requires the Client to fulfill their obligations in this respect

27. We are concerned for your health and safety and that of our complex. You are required to obtain (prior written) approval if you wish to fix items to the walls, floors or ceilings.

28. Prices quoted include VAT unless otherwise specified, this shall be at the rate prevailing when the Contract was prepared and is subject to alteration should the rate change. VAT is not chargeable on cancellation fees.

29. Insurance can be arranged to protect you and your event against cancellation or abandonment with a minimum sum insured based on the anticipated income to The Shropshire. Insurance can also cover non-appearance of speakers or delegates, property damage at or to the venue or its contents, third party bodily injury and third party damage. We do not accept liability for these.
